How Amrut Sai Plaza is governed
Amrut Sai Plaza is run by a managing committee elected by its members. The committee’s meetings, decisions, votes and accounts are recorded in the society’s app, so members can check what was decided and how their money is spent.
The managing committee
Members elect a managing committee, whose office bearers (chairman, secretary, treasurer) run the society day to day. Each role in the app has only the permissions it needs: the treasurer handles accounts, the secretary meetings and notices, and so on.
Anyone who can change money, people or settings must use two-step verification to sign in.
Meetings and minutes
Annual and special general meetings, managing committee and sub-committee meetings are scheduled in the app, with attendance and quorum recorded.
Once the secretary publishes the minutes they are frozen: a correction is minuted at the next meeting, so what members read is exactly what was approved. Members always see the minutes of general meetings; committee minutes are shared with members when the committee chooses.
Decisions and follow-up
Each decision is recorded against its meeting, and the work that follows becomes an action item with an owner and a due date. Overdue items are flagged, so nothing agreed quietly disappears.
Polls and formal votes
An opinion poll and a formal vote are kept apart and labelled differently. A formal vote cites the resolution or bye-law it is held under and can be one vote per property, as bye-laws usually require.
Only the members a vote is addressed to can take part, and each ballot is counted once. Individual ballots never appear on this public website.
Money and transparency
The society's accounts are kept as double-entry books, and every payment gets a receipt. An expense above the committee's limit must be approved by someone other than the person who recorded it.
Members can see a transparency summary of collections and major expenses, without any flat number next to an amount. Nobody sees another member’s dues.
Records
Bye-laws, registration papers, circulars and minutes are kept as documents with versions: a new version never overwrites the old one. Every administrative and financial change is written to an audit log saying who did what, when and why.
Members read the minutes, decisions, documents and transparency summary after signing in. Questions about governance can be sent to the society office (see Contact).
