Who is responsible for your data

This platform is the official digital system of the housing society (“the society”). The society decides what personal data is collected and why, and is responsible for it. The platform is built and run for the society by SnxwFairies Innovations Pvt. Ltd., which handles the data only on the society’s instructions and only to operate the platform.

What we collect

  • Your account: name, email address, mobile number and your password (stored only as a one-way scrypt hash, never in readable form). If you choose “Continue with Google”, the email address and account identifier Google confirms for you.
  • Your property and membership: the flats or row houses you own or occupy, ownership shares and transfers, tenancy, family members you add, vehicles and parking.
  • Money: maintenance bills, payments, receipts, advances, adjustments and your member ledger. For online payments we keep the payment reference and status the gateway reports. We never see or store card numbers, UPI PINs or banking passwords.
  • What you do on the platform: complaints and the photos you attach, notices you read or acknowledge, event RSVPs, poll votes, group posts, gallery photos, documents and amenity bookings.
  • Security and the gate: visitors you approve (name and mobile number), entry and exit times, deliveries and cabs, the domestic-help register and SOS alerts.
  • Optional details, only if you add them: profile photo, date of birth, anniversary, emergency contact and blood group. Blood group appears in the community directory only after you give explicit consent, and you can withdraw it at any time.
  • Society staff: attendance, leave, salary and masked identity-proof details, visible only to the committee roles that manage staff.
  • Technical records: a sign-in cookie, the IP address of sign-in attempts (to stop password guessing), an audit log of administrative and financial actions, and a push-notification subscription if you switch notifications on.

Why we use it

  • To run the society: billing and collections, accounts, complaints, amenities, visitors and security.
  • To tell you what matters: notices, bills, receipts, complaint updates and emergencies.
  • To keep the records the society must keep: accounts, receipts, minutes, decisions and their audit trail.
  • To keep the platform safe: sign-in protection, fraud prevention and investigating misuse.

We do not sell personal data, and we do not use it to build advertising profiles.

Who can see it

Access follows your role in the society. Committee members and staff see only what their role needs. Other residents see your mobile number or email only if you choose to share it. No resident can see another resident’s dues, and the transparency centre shows society-level figures only, never an individual’s balance.

The society’s public pages (under /society) can be read by anyone, including search engines. They show only the society’s own details and the notices and events the committee chooses to publish. Nothing that names a resident, or gives a unit, phone number or email, can be published there.

Service providers

The society uses these providers to run the platform. Each receives only what its job needs:

  • Vercel: hosting and private file storage for photos and documents.
  • Neon: the PostgreSQL database.
  • The SnxwFairies central communication and payment interfaces, and the messaging and payment-gateway companies they connect to: sending email and WhatsApp messages and processing online payments.
  • Google: only if you choose to sign in with Google.
  • Your browser’s push service: only if you switch on push notifications.
  • An AI service that suggests a complaint’s urgency. It receives only the complaint’s title, description and category, never your name or unit, and it can only raise a priority, never lower the one you chose.

Some providers store or process data outside India. The database currently runs in Singapore.

Cookies

We use only cookies the platform cannot work without: one that keeps you signed in, and short-lived ones that protect a Google sign-in while it is in progress. There are no analytics or advertising cookies, and sponsor messages on the site do not track you.

If the society switches on visit statistics, the public pages (not the members’ app) are counted with Vercel Web Analytics, which uses no cookies and does not identify you.

How long we keep it

We keep your data while you are a member or resident of the society. Financial records, receipts, minutes and their audit trail are kept for as long as the law requires the society to keep them, including after you move out. Sign-in codes expire within minutes, and closed sessions cannot be reused.

Your rights

Under India’s Digital Personal Data Protection Act, 2023, you can ask the society to:

  • tell you what personal data it holds about you and who it has been shared with;
  • correct, complete or update your data. You can change most of your profile yourself;
  • erase data it no longer needs, except records it is legally required to keep;
  • withdraw consent for optional features, such as the blood-group directory or birthday sharing, at any time from your profile;
  • nominate someone to exercise these rights for you; and
  • resolve a grievance about how your data is handled.

Contact the society office below. If you are not satisfied with the response, you may complain to the Data Protection Board of India.

Children

Accounts are for people aged 18 or older. Information about a child is added only by a parent or guardian who is a member of the society, and only what the society needs, for example to recognise a family member at the gate.

Security

All traffic is encrypted (HTTPS with HSTS). Accounts lock after repeated failed sign-ins. Photos and documents are stored privately and your permission is checked every time a file is opened. Administrative and financial changes are recorded in an audit log.

Changes to this policy

When this policy changes, the date at the top changes too. The society may also announce significant changes as a notice on the platform.

Grievance Officer

Complaints about how personal data is handled, and complaints about content on the platform, may be addressed to the Grievance Officer, Tanishq Khandelwal (Director), SnxwFairies Innovations Private Limited, at [email protected]. As our own service commitment, and not as a period the Rules set, we acknowledge a complaint within 24 hours and aim to resolve it within 15 days. On actual knowledge that content is unlawful — which arises only from an order of a court of competent jurisdiction or a written, reasoned intimation from an authorised government officer — we act on that content within 36 hours, as rule 3(1)(d) of the IT Rules 2021 requires, and our safe harbour under section 79(1) of the Information Technology Act, 2000 depends on our doing so. If you are not satisfied with the decision, you may appeal to the Grievance Appellate Committee within 30 days; for a personal-data grievance you may also complain to the Data Protection Board of India.

Contact and grievances

The society’s office address and contact details will appear here once the society completes its first-time setup.
